Stormwater Poland 2026 Regulations
General Provisions
- The conference organized by RETENCJAPL Sp. z o.o., hereinafter referred to as the “Conference,” takes place on the date and at the location specified by RETENCJAPL Sp. z o.o., hereinafter referred to as the “Organizer.”
- The Organizer of the conference is RETENCJAPL Sp. z o.o., ul. Marynarki Polskiej 163, 80-868 Gdańsk, NIP: 5842743299, hereinafter referred to as the “Organizer.”
- The provisions of these Regulations constitute an integral part of the Conference Registration and apply to all participants of the Conference, both Guests and Partners, hereinafter referred to as “Participants.”
- The Ordering Party is a natural or legal person who has placed an order for services using the Registration Form available at www.stormwaterpoland.com.
- A Conference Participant is the Ordering Party who is a natural person or a natural person indicated by the Ordering Party in the Registration Form.
- If the Ordering Party is not the Participant, the Ordering Party consents to the processing of the Participant’s personal data and to the use of the Participant’s image recorded during the Conference. If the Participant does not provide such consent, they must contact the Organizer to have it withdrawn.
- Completing the Registration Form is equivalent to the Ordering Party accepting these Regulations.
Terms of Participation
- The condition for participation in the Conference is:
- Registering for the Conference by completing the online Registration Form.
- Making the payment via bank transfer in accordance with the procedure described in the Payment Terms section of these Regulations.
- Confirmation of the Participant’s registration will be sent by the Organizer via email, together with a proforma invoice, within 4 (four) business days from the date of receiving the registration via the Registration Form.
- Due to a limited number of places, participation in the Conference is reserved on a first-come, first-served basis.
- The cost of participation, travel, and accommodation is borne by the Participant.
- The deadline for submitting the Registration Form is specified by the Organizer on the Registration Form. After this date, registration is possible depending on availability by direct communication: konferencje@retencja.pl.
- The above organizational conditions do not apply to registrations submitted later than 6 days before the start of the Conference. In such cases, the organizational conditions must be arranged individually with the Organizer.
Complaint Handling Procedure
- The Participant has the right to submit a complaint regarding the organization of the Conference, including online payments.
- Complaints must be submitted in writing via email to: konferencje@retencja.pl within 14 days from the end of the Conference.
- The Organizer will review the complaint within 14 calendar days from the date of receipt and will inform the Participant of the decision by replying to the email address provided in the registration.
- If the complaint is accepted, the Organizer will refund the amount without undue delay, no later than 14 calendar days from the date of notifying the Participant of the positive resolution. The refund will be made using the same payment method used by the Participant (e.g., to the payment card from which the funds were debited).
- The complaint should include: the name and surname of the Ordering Party, contact details, a description of the issue, and any attachments supporting the reported irregularities.
- The Organizer will review the complaint within 14 business days from the date of receipt and inform the Participant of the decision electronically.
- In the case of a justified complaint, the Organizer may offer the Participant compensation, such as a refund, a discount for a future event, or other remedial measures.
- Any disputes arising from the complaint process will be resolved through negotiation, and if no agreement is reached, they will be settled by the court having jurisdiction over the Organizer’s registered office.
Conference Rules
- The Organizer sets the Conference schedule and reserves the right to make changes to the program, even on the day of the Conference. In particular, the Organizer may change the timing and order of presentations.
- The Organizer is not responsible for delays in implementing individual elements of the Conference, nor for Participants not attending any part of the program.
- All Event participants are required to comply with the regulations of the venue: POZNAŃ MTP, SALA ZIEMI.
- The Participant is fully responsible for any damage caused by themselves or by persons delegated by the Ordering Party to participate in the Conference within the venue.
- The Organizer is not responsible for lost, damaged, or stolen items belonging to the Participant or persons delegated by the Ordering Party during the Conference.
- The Participant agrees to comply with safety regulations, including fire protection, epidemiological measures, and the instructions and organizational-technical directives of the Organizer’s representative.
- Recording or capturing the Conference in any form is prohibited.
- The Event is organized in a traditional, in-person format and is not broadcast online. The Organizer reserves the right to change the format in the event of force majeure. In the case of changing the format exclusively to an online broadcast, a refund will be issued for the difference between the incurred costs and the standard online participation fee.
Payment Terms
- If the price depends on the registration date, the applicable amount is determined by the date the Organizer receives the Registration Form and the timely payment.
- The accepted method of payment for the Conference is prepayment via bank transfer to the following account:

or via electronic payment through the TPay platform.
- Payments for the Conference must be made within the deadline indicated on the proforma invoice.
- Payments for participation in the event are accepted in Polish currency – PLN. For transactions made with cards issued outside Poland, currency conversion is carried out in accordance with the regulations and the fee schedule of the bank that issued the Participant’s card.
Cancellation Policy
- Registration cancellations can be made up to 28 days before the start date of the Conference, exclusively through a written statement sent via email to konferencje@retencja.pl.
- Cancellation of participation in the Conference after the deadline specified in item 1 of this paragraph obliges the Participant to pay the full participation fee to the RETENCJAPL account.
- Acceptance of the cancellation will be confirmed by the Organizer via email to the address provided in the registration. In such a case, the paid Conference fee will be refunded to the bank account number provided by the Ordering Party.
- If the Participant does not attend the Conference, they are obliged to pay the full participation fee in accordance with the Registration Form.
Data Protection
- The data controller within the meaning of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, “GDPR”), is RETENCJAPL Sp. z o.o., ul. Marynarki Polskiej 163, 80-868 Gdańsk.
- The data controller is responsible for the use of personal data of Conference Participants or the Ordering Party (collectively referred to as “Participants”).
- Contact with the data controller’s representative: informacja@retencja.pl.
- Participants’ personal data will be processed for the purpose of organizing the Conference, including creating a participant list and providing organizational information.
- The recipients of Participants’ personal data will include RETENCJAPL Sp. z o.o. and other entities providing services to the Controller, such as financial settlements, accounting, legal, advisory and consulting services, archiving, IT equipment and software maintenance, and any other services supporting the Controller’s activities related to the Conference.
- Participants have the right to request access to their personal data, the right to rectify, delete, or restrict processing, the right to data portability, and, if data processing is based on consent, the right to withdraw consent at any time by sending a written notification to the Controller’s address or email informacja@retencja.pl.
- Participants have the right to object to the processing of their personal data when the basis is not their consent, a contract, or a legal provision.
- Participants’ personal data will be stored for 12 months; in the case of an objection to data processing, data will be retained until the objection is submitted and considered according to item 7.
- Participants have the right to lodge a complaint with the supervisory authority, i.e., the President of the Personal Data Protection Office, if they believe that the processing of personal data by the Controller violates legal regulations.
- By registering, the Ordering Party who is a natural person, as well as a natural person representing a non-natural person Ordering Party, consents to the processing of their personal data for the purpose of organizing the Conference, including creating the participant list. If the Registrant is not the Participant, the Participant confirms their consent to data processing as described in §1 item 6.
- Providing personal data is voluntary but necessary to participate in the Conference.
- The Organizer has adopted and complies with a personal data security policy.
- The Organizer implements all appropriate security measures in accordance with legal regulations and generally accepted principles to protect the confidentiality of information.
- Participants consent to the use of their image recorded during the Conference, and the Organizer reserves the right to conduct photography and video sessions during the Conference. If a Participant does not consent to the use of their image in informational and promotional materials, they must notify the Organizer electronically of their objection no later than the first day after the end of the Conference.
- The Organizer reserves the right to use an external service for conducting registration.
Final Provisions
- The Organizer reserves the right to cancel the Conference or change its date and time due to unforeseen events. In the event of cancellation, all payments made by the Participant will be fully refunded by the Organizer.
- By unforeseen events, the Organizer means:
- fire,
- flood,
- failure of electrical, heating, gas, water-sewage, air conditioning, or other installations, whose occurrence could threaten the life or health of persons participating in the Conference,
- armed conflict,
- street riots,
- road, rail, air, or other disasters preventing access to the Conference venue or safe conduct of the Conference,
- other events that prevent the Conference from being organized according to the program or threaten the life or health of Participants if held.
- Submitting the Registration Form signifies acceptance of the provisions of these Regulations, as well as compliance with the venue rules and any other arrangements made between the Participant and the Organizer.
- During the Conference, the Organizer reserves the right to take photographs and record the proceedings in photographic and video form, including Participants’ images, for use in RETENCJAPL publications and on the website.
- The Organizer declares that materials provided to Participants during the Conference are protected by copyright. The Ordering Party and/or Participant may use them only within the scope of personal use. Copying, reproducing, distributing, or other uses beyond the legally permitted scope are prohibited.
- The Organizer reserves the right to amend the Regulations. Changes take effect 7 days after being posted on the website www.stormwaterpoland.com.
- Any disputes arising from participation in the Conference will be resolved by the court having jurisdiction over the Organizer’s registered office.
- For matters not regulated by these Regulations, the provisions of the Civil Code shall apply.
- These Regulations enter into force on the date of their posting on the website www.stormwaterpoland.com.
